The problem
Bank statements and purchase invoices keep arriving, and they’re often processed by hand: a counterparty’s name gets typed slightly differently every time, classification depends on who’s doing it, and reconciliation to the books never gets checked at the transaction level. Recurring software and service subscriptions keep running unnoticed, and a duplicate payment or a charge that doesn’t match the contract only turns up if someone happens to compare the lines.
Management or the board often sees only a summary, not what a single figure is made of. Without systematic, repeated processing, it’s hard to tell a real change from noise month to month.
What we do
This service is built around Finnish bank statement, invoice and bookkeeping conventions, so today we deliver it in Finnish, for Finnish accounts.
We automate the processing of bank statements and purchase invoices: reading transactions, standardising counterparty names, and classifying payments by agreed rules. We reconcile transactions to the books and flag the differences for review. We identify recurring software and service subscriptions, as well as any duplicate payments and charges that don’t match the contract.
From this we build management a regular cash-flow and expense report: where the money goes, what’s recurring and what deviates from the usual pattern. You confirm the classification rules at checkpoints, and the next period reuses the same, already-approved rules.
Audit, for example a one-off, transaction-by-transaction review for a board or a lender, is one way to use the same pipeline. The same technique works both as a recurring monthly run and as a one-off review, and the pipeline is built and tested on complete, real bank statement and invoice data.
Before we start, we agree where the data is processed and what is given to the AI service: no bank statement or invoice data goes to external services without your decision. AI helps standardise names and write the report, not make decisions; the reconciliation of amounts is done by calculation, and a person checks the findings.
What you own
The report, the workbook and the classification rules, which let you repeat the same run yourself or with us. The classification rules are saved as their own file, so the next period doesn’t start from zero. Processing costs are reviewed before go-live, as in every project we deliver.
What we don’t promise
- Decisions on your behalf. AI normalises and writes; a person classifies the rules and draws the final conclusions.
- A statutory audit or a legal opinion. The report is a basis for your own or the board’s review.
- Complete detection without confirmed classification rules. Wrong rules produce wrong findings just as effectively as right ones, which is why classification is confirmed together.
- Processing in external services without agreement. Where the data is processed and what the AI is given is agreed before we start.
- Proof of wrongdoing. The pipeline finds deviations and flags them clearly; conclusions and any further action are yours or the board’s, not ours.
